Best Communication Tools to Replace Email

The top collaboration software for SMBs

Team using collaboration software for SMBs | Varay, El Paso

Who doesn’t still have a soft spot for snail mail? There are occasions when traditional post is the best way to communicate — but most of the time, there is a more efficient option. And today even email looks slow compared to collaboration software for SMBs.

Though we still think of email as efficient, the process of opening, closing, and searching through email can waste 2.5 of your hours every day. It still has a place in communication, but there are better tools for inter-organization chatter and sharing.

We love collaboration software because it brings remote teams together and saves precious steps for in-house employees.

our favorite collaboration software for SMBs

There are currently two big names in collaboration software: Microsoft Teams and Slack. Here’s a brief look at their respective benefits and features.

Microsoft Teams — This platform comes included as part of some Office 365 subscriptions, but can also be used as a standalone product with some reduced features. Depending on what kind of features you want and which subscription you have, it can be free or up to $12.50 per user per month. The basic Teams premise is a customizable set of chat channels, private messaging, and video chat capabilities. Collaboration is simple on Teams, as you can work together on OneDrive documents right in the app. Teams, as a Microsoft product, was created specifically with efficient corporate use in mind. If your business already uses Office 365, Teams might be an easy choice for you. Teams can be used on browsers and as an app on mobile devices.

Slack — This may be the best known collaboration software for SMBs. Slack is a standalone platform with free and paid versions (up to $12.50 per user per month) that runs on browsers and mobile devices, just like Microsoft Teams. The utility is also similar, with invite-based chat channels and private messages. Slack doesn’t currently support video calling or allow you to edit documents without closing the app. It’s still useful for collaboration though, as users can send each other links to the documents and open them outside of the app. If your team isn’t using Office 365, Slack might be a good choice for you.

Whichever platform you choose, expect efficient results

Both platforms can:

  • Save you time by keeping all of your conversations in one easily searchable place.
  • Keep your team on the same page without wasting anyone’s time opening email after email so stay abreast of updates
  • Help information “stick” with your team members better, as it stays easily visible rather than hidden in a long email thread.
